PURPOSE
To outline the WorkHealth Fitness and Wellbeing management system (WHFWMS) and its central role in
improving workplace health, fitness and wellbeing.
SCOPE
The OHFWMS is the integrated system designed to provide a fit and
healthy workplace for all Employees and Contractors working within the
organisation. It is an integral aspect of the WorkHeath Victroria’s (WHV) health, fitness and
wellbeing continuous improvement process.
The
system has been designed to conform to WHV’s own health, fitness
and wellbeing standards (Occupational Health, Fitness and Wellbeing
Management Systems) and will be audited using external agents
to WHV requirements.
PROCEDURE
The WHFWMS
consists of five major elements
1. COMMITMENT AND POLICY
We are committed to meeting all WHFW legislative requirements, and
continuously improving the workplace. .
These
objectives are set out within the WHFW Policy document with the
essential components identified as:
1.1 An OHFW
Policy outlining the WHV commitment to OHFW signed by the Chief
Executive and posted in all workplaces.
1.2 The
requirement for our organisation to comply with
its own WHFW standards.
1.3 Applying
WHFW management accountabilities in each Manager's performance plan.
WHFW initiatives and outcomes are discussed at Executive and Board level
meetings. Each Director is responsible for the delivery, on a quarterly
basis, of a report on initiatives and outcomes in their areas.
2.
PLANNING
We continually review the workplace hazards and impediments to
staff health, fitness and wellbeing that its Employees and Contractors
are exposed to, assesses the risks, develops relevant action plans to
control the risks, and sets annual performance indicators.
2.1 The WHFW
plan will be continuously reviewed and updated in line with changes made
to procedures and systems. Any proposed changes to the plan must be
endorsed by the Corporate WHFW Committee.
2.2 Each
Director has a Local Action Plan to ensure conformance to the WHFWMS and
Corporate Performance Indicators within their area of accountability.
2.3 We have identified
the requirements impacting on internal health, fitness and wellbeing.
2.4 Prior to any planned change, which may impact health,
fitness and wellbeing, managers must consult with relevant employees,
contractors and WHFW Representatives on proposed changes.
Consultation will involve:
- Sharing
of information
- Giving
employees reasonable opportunity to express their views, and
- Taking
into account their views and contributions.
3.
IMPLEMENTATION
We are committed to ensuring adequate capabilities, resources and
support mechanisms to achieve its WHFW policy objectives and targets by:
3.1
Appointing a Manager, WorkHealth, Fitness and Wellbeing, in
addition to having other WHFW specialists on staff.
3.2 Assigning
individual accountability and responsibility for health, fitness and
wellbeing within the workplace.
3.3
Establishing and reviewing consultative mechanisms to communicate
health, fitness and wellbeing issues to and from all staff via an
effective health, fitness and wellbeing network.
3.4
Provision of appropriate induction and
continuation training for all staff relevant to the hazards and risks
that they may be exposed to, what they can do for themselves to keep
themselves fit and healthy and what the organisation can do to assist
them.
3.5 Quarterly
reporting to Directors on the status of health, fitness and wellbeing
within the organisation to the Executive and Board level meetings by the CEO.
3.6 Ensuring
mechanisms are in place to report incidents relating to health, fitness
and wellbeing occurring within the workplace or to employees when
visiting external workplaces.
3.7
Maintaining and controlling appropriate documentation and records
relating to employees and WHFW matters, incidents and issues.
3.8
Conducting health and fitness assessments, identifying hazards and
assessing levels of risk for all Employees and Contractors.
3.9
Conducting seminars for all staff on health, fitness and wellbeing
topics
3.10
Eliminating hazards where practicable or developing and implementing
relevant risk controls.
3.11 Ensuring
effective processes exist to eliminate or reduce risk associated with
the purchase of goods and services – particularly fast food and drink in
the workplace.
3.12
Implementation, management and review of emergency plans.
3.13
Development and management of quality metabolic, musculo-skeletal and
psychological dysfunction prehab and rehab systems.
Subsidiary Procedures:
Our WHFW Manual contains procedures relevant to the organisations WHFWMS.
4 MEASUREMENT AND EVALUATION
We
will continually measure, monitor and evaluate our WHFW performance, and
as appropriate take corrective action to ensure that targets are met. To
this end:
4.1
All work teams will undertake an annual audit process, mapped against
relevant WHFW criteria and designed to assist and improve the WHFWMS.
4.2 We shall have the WHFWMS externally audited annually,
against relevant criteria.
4.3 Investigations of WHFW incidents and hazard reports will
provide information on how the WHFWMS can be improved.
4.4 Where audits identify corrective actions required to maintain
the integrity of our WHFW targets and objectives, these will be
immediately considered by the Executive, and appropriate measures
implemented.
5 REVIEW AND IMPROVEMENT
5.1 We shall annually review and continuously improve its WHFWMS, with the objective of continuously improving its overall health,
fitness and wellbeing performance. Such reviews will take into account
changing Legislation, changing expectations of Management and Employees,
changing organisational structures, advances in technology, lessons
learnt from OHFW incidents and hazard reports and feedback from
Employees.
To ensure that our organisation continuously improves its WHFWMS, health and
safety considerations will be integrated into all business decisions as
will the initiation of improved procedures, programs and technologies. |
